Ringaround is a personal assistant, called Robin, who gets household jobs done: she researches local businesses, rings and messages them for quotes on your behalf, brings the best few back to you, and books the one you pick. To do that she has to know about you and your job, and she has to tell businesses some of it. This policy says what we collect, what we do with it, who sees it, and what you can ask of us.
Ringaround is run by Always Building AI Pty Ltd (ABN 32 697 570 344), based in Brisbane, Queensland. When this policy says "we", "us" or "Ringaround", it means that company. Robin is the name we give the assistant; Robin is software, not a person, and she says so at the start of every call she makes.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
We collect only what the service needs. In plain terms:
| What | Where it comes from | Why |
|---|---|---|
| Your name, mobile number and email | You, when you sign up and set up your account | To sign you in (by a code sent to your mobile), to reach you, and to know how to address you |
| Your suburb, and a street address when a job needs a visit | You, or Robin asks when a business needs it | To find businesses near you and to book a visit |
| Your household: who lives there, pets, other jobs you have mentioned | What you tell Robin | So Robin can remember your family across jobs and not ask twice |
| Job details: what you need, when, your budget, what matters most to you, photos you send | You, in the app or on a call with Robin | To research, ask for quotes and book the job |
| Your preferences about businesses: ones you want tried, ones you never want used, what you thought of them | What you tell Robin | To shape who Robin contacts; these are kept between you and Robin (section 4) |
| Your conversations with Robin: typed chats, and voice calls, which are recorded and transcribed | The app and the phone line | So Robin can act on what you said and you can see the record |
| Robin's conversations with businesses on your behalf: calls (recorded and transcribed), texts and emails, and the quotes they send | The businesses Robin contacts | To bring you the quotes and the record of what each business said |
| Your weekly catch-up time and notification settings | You, in the app | To ring you when you asked and to send notifications |
| Your calendar's busy times, if you choose to share them | Your phone's calendar, only after you turn it on in the app | So Robin can book a time you are free. Only the start and end of each busy time leave your phone, never what the event is, where it is or who is in it. If you allow it, the app also adds your bookings to your phone's calendar |
| Device information: a push notification token, the app version, the phone's time zone | Your phone, through the app | To deliver notifications and Robin's in-app calls, and to fix problems |
| How you use the app: which screens you open, which buttons you press, when you start or finish a step, tied to your account number and not to your name, phone number or email. Never what you type or say, and never a price, an address or a business's name | Your phone, through the app, and our servers | To see where the app is confusing or where people stop, so we can fix it |
| How you use our website: the pages you open, what you tap, how far you scroll, how long you stay, the link or campaign that brought you, and a recording of the page as you use it with anything you type hidden | Your browser, on our website (section 13) | To see where the website is confusing or where people stop |
| Waitlist: your email, and your name if you give it, the link or campaign that brought you, and which kind of phone you have if you tell us | The form on our website | To tell you when you can join, and to tell you about Ringaround (section 13) |
We do not collect your contacts, your location in the background, or your browsing, and the app carries no advertising. The app does record how it is used, as described in the next row of the table above: which screens are opened and which buttons are pressed, never what you type or say.
The app asks your phone's permission before it uses the microphone (for calls with Robin, and to say a job instead of typing it), your calendar (if you share your busy times or let it add your bookings), the camera and your photos (when you send Robin a photo), your location (once, when you tap Use my location, rounded to about 100 metres before it leaves your phone) and notifications. It does not read your phone calls, your contacts or your advertising ID.
We do not sell your information, and we do not use it for advertising.
Robin's job is to get you quotes, and businesses can only quote what they know. So Robin tells a business what the job is, roughly where it is (your suburb), when you would like it done, and the details a quote depends on, such as the size of the job or a photo you sent. A business can read those details on a job page Robin sends them.
Some things a business never gets from Robin before you have booked them:
Once you choose a business and Robin books them, she gives them what the booking needs: your name, the address for a visit, and a way to reach you.
Calls with Robin, and calls Robin makes to businesses on your behalf, are recorded and transcribed so that Robin can act on what was said and you can see a written record in the app. Robin tells every business at the start of a call that she is a virtual assistant.
Recordings and transcripts are held by our voice provider (section 7) and by us. Businesses do not receive recordings.
Our voice provider and we keep recordings and transcripts while your account is open; both are deleted when you close your account (section 9).
Robin is built on large language models and a voice model. What you tell Robin, and what businesses tell her, is sent to those models to work out what to say and do next. Robin does not make decisions that affect you without you: she asks before a job starts, you choose which quote to take, and a booking is made only when you say so.
The model providers we use process this information to provide the service to us.
We share your information with the businesses Robin contacts, as described in section 4, and with the service providers who help us run Ringaround. Each of them acts on our instructions and only to provide their service to us:
| Provider | What they do for us | What they handle |
|---|---|---|
| Google Cloud (Vertex AI, Gemini) | The language models behind Robin | Job details, conversations, quotes |
| Google Places | Finding local businesses | The kind of job and the suburb |
| ElevenLabs | Robin's voice on calls, and call recording and transcription | Calls with you and with businesses |
| Twilio | Phone calls and text messages, including alerts to our own team | Phone numbers, texts, call audio |
| Resend | Sending Robin's emails | Emails to businesses, and to you |
| Apple | Delivering notifications and in-app calls to your iPhone, and purchases on iPhone | A device token and the notification text; purchase records on iPhone |
| Expo | Relaying notifications to your phone | A device token and the notification text |
| Google (Firebase) | Delivering notifications to Android phones | A device token and the notification text |
| Google Play | Delivering the Android app | The app download and its updates; purchase records on Android, when we offer purchases there |
| Railway | Hosting our servers and database | Everything we hold |
| Amplitude | Measuring how the app and the website are used | App and website usage events tied to an account number or a random browser ID: screens opened, buttons pressed, steps completed, pages viewed, scrolling, and on the website a recording of the page with typed text hidden. No names, phone numbers, emails, addresses, messages or call audio |
| Cloudflare | Encrypted daily backups of our database | Everything we hold, encrypted before it leaves our server |
| Stripe | Collecting booking fees from businesses | Business payment details; not yours |
| Airtable | The waitlist | Waitlist names and emails, how each person found us, and the kind of phone they gave |
| Slack | Telling our own team about new waitlist sign-ups and voucher claims | Waitlist names, emails, how each person found us and the kind of phone they gave; the first name and email on a voucher claim |
We may also share information when the law requires it, or to protect someone's safety.
Several of the providers above operate from the United States, and our servers and backups are hosted there, so your information leaves Australia to be processed.
We keep your account and its jobs while your account is active, so Robin can remember your household and you can look back at what happened. Sign-in codes expire within ten minutes. Encrypted backups are kept for 30 days.
If you close your account we delete it, and the jobs, conversations, recordings and transcripts that belong to it, including our voice provider's copies, within 30 days, except what we must keep by law. Where more than one person shares a household account, closing the account deletes every member's information. One kind of record stays: a call Robin made to a business about another family's job, because it belongs to that job too.
No system is perfectly secure. If we learn of a breach that is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner as the law requires.
Ringaround is for adults running a household. We do not knowingly let anyone under 18 open an account. Parents often tell Robin about their children so a job can be done well (a child's age for a tutor, a name for a clinic); that information is part of the household's account and is treated as described here.
Our website is ringaround.com.au, ringaround.app and the campaign pages at join.ringaround.app. It uses Amplitude to understand how it is used: the pages you open, what you tap, how far you scroll, how long you stay and the link or campaign that brought you, and a recording of the page as you use it, with anything you type hidden. It sets no cookies; it keeps a random ID in your browser's storage so visits can be counted. The website's usage data is not tied to your name or email.
If you join the waitlist we keep your email, and your name if you give it, the link or campaign page that brought you, and which kind of phone you have if you tell us, in order to invite you and to tell you about Ringaround. We store that list with Airtable and in our own marketing list, and our team is told of each new sign-up in Slack and by text message. It stays inside the company: we do not share it with anyone else, and you can ask us to remove you at any time.
We will update this policy as Ringaround changes, and the date at the top will change with it. If a change matters to you, we will tell you in the app.
